1.  Name

The name of the Club is the Leatherhead Lawn Tennis Club.

2.      Membership

1     Grades

            Grades of membership shall be:

            1       Annual Full

            2       Off Peak

            3       Temporary

            4       Junior

            5       Student

            6       Beginner/Improver

            7       Mini Tennis                 

            8       Mini Tennis Parent

            9       Social

     10     Honorary Member

 

2   Rights

1 Annual Full Member: Shall have the use of the club house and tennis courts at all times, except as otherwise directed by the Committee; the right to vote at General Meetings, and to hold office, if elected.

 

2 Off Peak Member: Shall have the use of the clubhouse at all times. Shall have the right to use and book courts when not in use for club tournament or match play within the times as laid out. (Weekends & Bank Holidays, after 12 noon, weekdays before 7pm). They may not play for club teams or enter the club Annual Tournament but may enter social tennis competitions as and when stated by the Committee. They are also entitled to attend club sessions on a Tuesday morning, Tuesday evening and Saturdays after 3.30pm. They do not have the right to vote at General Meetings.

 

3 Temporary member: Shall have the use of the clubhouse and tennis courts during their period of membership, except as otherwise directed by the Committee. They may attend club sessions subject to Grading.

 

4 Junior Member: Shall be under 18 on the 1st April in the year they join or renew their membership and shall be admitted at the discretion of the Committee. They shall have use of the facilities at such times as determined by the Committee and noted in the clubhouse. Juniors shall have no right to vote at General Meetings or to hold office. Juniors may not book courts after 7pm Monday to Thursday or before noon Sunday mornings, but may have the use of them when not booked by adult members.

 

5 Student Member: Shall be members over 18 and under 25 on the 1st April in the year they join or renew their membership, with proof of being in full time education. They shall have the privileges of Annual members.

 

6 Beginner/Improver Member: Shall be permitted to play in certain designated club sessions. These sessions are not open to full members. Beginner membership may only be renewed ONCE before Full or Off Peak membership must be sought.

 

7 Mini Tennis Member: Must be under 10 on the 1st April in the year they join or renew their membership. Court usage is only with mini tennis balls and times of play are restricted to before 6pm Monday to Friday.

 

8 Mini Tennis Parent:  Shall have the right to play mini tennis with their own children, who must be mini tennis members, within the times above, only proper mini tennis balls may be used. Normal Junior or adult balls may not be used by Mini Tennis players or their parents

 

9 Social Memberships: Shall be available to former playing members, spouse's or partners and others who may wish to be associated with activities arranged by the club. Social Members are eligible to attend social functions and may represent the club in non-tennis competitions. They shall neither have any voting rights nor be eligible to serve on the Committee; they may take part in the Wimbledon draw for tickets. Social members may play tennis up to 4 times a year, without introduction by a playing member, on payment of visitors’ fee.

 

10 Honorary Members: May be elected at the Annual General Meeting. Nominations for Honorary membership must be proposed, seconded and forwarded to the secretary not later than 14 days before the meeting at which nominations are to be submitted. They do not have the right to vote at a General Meeting but may hold office if elected.

  

 

3   Admission to Membership

     Admission to all grades of membership shall be at the discretion of the committee.  Persons may not be admitted to membership or be admitted as candidates for membership to any of the privileges of membership without an interval of at least 2 days between their nomination or application for membership and their admission, nor may persons becoming members without prior nomination or application be admitted to the privileges of membership without an interval of at least 2 days between their becoming members and their admission.  The names and addresses of persons applying to be admitted to membership shall be displayed in the clubhouse for at least 2 days prior to their admission to membership.

 

4   Guests

Visitors may be introduced as a guest by a member of any grade upon signing their name in the book provided for that purpose.  Visitors’ fees shall be determined from time to time by the committee.  The fee is payable in advance of using the club’s facilities.  No member may introduce more than two guests at any one time and no guest may be introduced more than four times in any one year, except at the discretion of the committee.  Guests of 18 years of age or more may be supplied with intoxicating liquor.

 

5   Subscriptions

Entrance fees and subscriptions shall be as determined from time to time by members at the Annual General Meeting.  For all classes of membership, except Student/Intermediate and Temporary members, the subscription covers the period 1 April to 31 March of the following year.

 

6     Renewal of Membership

The Committee shall have the right to refuse the renewal of membership of any member at the next annual renewal date.

 

 

7     Resignation

Members wishing to resign shall give notice in writing to the Secretary and shall be responsible for payment of subscriptions for the current year or period of membership.

 

8     Expulsion

The Committee shall have power to expel any member whose conduct within or outside the Club is injurious to the character or interest of the Club.  A decision to expel a member must be taken by not less than three quarters of members present at the Committee meeting and, for the purposes of this rule, a quorum shall be eight Committee members. 

 

Any members whose conduct is in question shall be given reasonable opportunity to answer the charges before the proposed expulsion is put to the vote.

 

 

 

3.      Income & Property

       The property of the club shall be vested in Trustees elected in General Meeting, who shall hold office until death or resignation or until removed from office by resolution passed at a General Meeting.  The Trustees shall be two in number and shall deal with the property of the Club as directed by the Committee and shall be indemnified against risk and expenses out of the club property.  All monies not currently required shall be invested in a manner decided by the Committee.

 

       To give effect to the election of Trustees in General Meeting: -

       1.   The Chairman is nominated as the person to appoint new Trustees of the Club within the meaning of the Trustee Act 1925, Section 36;

       2. The Chairman shall by Deed appoint the person or persons nominated by the Committee as the new Trustee or Trustees of the club; and

       3. The provision of the Trustee Act 1925 shall apply to such appointment.

 

       The Trustees with the agreement of the Committee shall be empowered to borrow money for the benefit or development of the club and to comply with all reasonable conditions imposed by the lender.

 

       Any statement of fact in a deed of Appointment of new Trustees in favour of a person dealing bone fide and for value with the Club or Committee is conclusive evidence of the fact so stated. 

Cheques drawn on the club’s current account shall be signed by two of the three officers.  Cheques drawn on a deposit account shall be signed by a Trustee and an officer.

 

4.      Officers

       The officers of the committee shall be:

       1.     Chairman

2.     Secretary

3.     Treasurer

 

All officers shall be Annual members and shall retire at the Annual General Meeting, but shall be eligible for re-election.  Casual vacancies may be filled by the Committee.

 

5       Committee

       1.  The management of the club shall be in the hands of the committee which shall consist of the officers, and up to six Annual, Student/ Intermediate, or Honorary members.  Except as provided in rule 2.8, five members of the committee shall constitute a quorum.  All members of the committee shall retire at the Annual General Meeting but shall be eligible for re-election, except two ordinary committee members who shall have served on the committee for the highest number of consecutive years.  Either or both of these committee members shall be eligible for re-election for the following year, [a] if one or two of the other four committee members is/are not available for re-election, but this shall not prevent either or both being elected as an officer; or [b] there are no new nominations for the committee.  Any two members may nominate an Annual or Student/intermediate member for election as an officer or committee member.  If nominations exceed vacancies, there shall be a secret ballot of members present at the Annual General Meeting.

 

2.  The committee may fill any vacancy that may occur and shall have power to co-opt up to three Annual, Intermediate or Student members.  Members appointed to fill a vacancy or co-opted to the Committee shall retire at the next Annual General Meeting, but shall be eligible for election.

 

3.  The secretary shall keep a record of all committee and general meetings of the club.

 

6.    General Meetings

An Annual General Meeting of members of the club shall be held as soon as practicable after 1 October.  In no event may more than 15 months elapse between Annual General Meetings.

 

The committee may call a Special General Meeting at its discretion and must do so on the written request of not less than 10 Annual, Intermediate or Student members, who shall state the purpose of the meeting.

 

Voting at General Meetings shall be decided by a simple majority.  Not less than 21 days’ written notice of the time and place of General Meetings shall be given to members and 15 members shall constitute a quorum.

7.    Accounts

The accounts of the club shall be made up to 30 September in each year, and shall be submitted at each Annual General Meeting.  The accounts should be reviewed by two honorary examiners, who shall be elected at the Annual General Meeting.

8.      General

The committee shall have the power to settle and adjudicate upon disputes between members on matters concerning the club.

 

No responsibility shall attach to the committee, or any member of it, for the loss of, or damage to, any property of a member, visitor or guest left on any part of the club premises, whether or not such loss or damage is occasioned by the negligence of the committee or any member of it.

 

The clubhouse shall not be used for gambling or playing any game of chance or unlawful games, and the committee shall have the power to prohibit any games which, in their opinion, would be injurious to the interest of the club.

 

Play shall be under the rules of the Lawn Tennis Association, to which the club shall be affiliated.

 

Dogs shall not be admitted to any part of the club property.

 

The purchase of alcoholic drink by the club and the supply of such drink to members and their guests shall be supervised and arranged by the committee or by a sub-committee of members elected at the Annual General Meeting.

 

The permitted hours of supply of alcoholic drinks to members shall be:-

Weekdays                            11.30am – 1.30pm and

                                            5.30pm – 10.30pm

Sunday, Christmas Day, Good Friday     12 noon – 2.00pm and                                                   7.00pm – 10.30pm

 

Or such other hours agreed by the Licensing Authority.

 

9.    Alteration to Rules

The rules of the club may be altered, or new rules added, by a resolution passed by a majority of members present at a General Meeting.  A copy of the proposed alteration or addition shall be sent to every member with the notice convening the meeting.

 

10. Dissolution

 

In the event that The Leatherhead Lawn Tennis Club is dissolved following a formal resolution put to a General Meeting and passed by the necessary majority of those present, the surplus assets and funds shall be distributed to non-profit making organisations with similar aims and objectives in the district as determined by the committee and trustees.
